Standard payment terms

• Full payment must reach Hitgeheim Country Lodge no later than 30 days before arrival to secure accommodation and booked activities.
• Reservations made within 30 days of arrival require full payment within 48 hours.
• Agents must provide proof of full payment 30 days before arrival to secure the booking and commission.
• Agents paying through the secure gateway or by credit card will be charged a 3% credit-card service fee.

Cancellation and refunds

All cancellations must be submitted in writing.

• Cancellations made 30 days or less before arrival forfeit 100% of the booking value.
• No-shows incur a 100% cancellation fee.
• No refund is available when a guest arrives but leaves before completing the booked stay.
• Where a refund is required, 3% of the total deposit or payment will be retained as an administration fee.

Travel insurance

Guests should obtain suitable travel insurance and ensure that their insurer is fully informed of Hitgeheim Country Lodge's terms and conditions.

Additional booking terms

• Payment through the secure VCS gateway or by any other payment method confirms acceptance of these terms and protects the company and affiliated bank accounts against charge-back procedures.
• Rates for accommodation, game drives or activities may increase after quotation for reasons beyond the lodge's control. Revised rates must be accepted by the guest or agent.
• All bank charges are payable by the guest, agent or operator. Charges related to a refund will be deducted from the refund amount.
• Road transfers and other activities are nett and non-commissionable.
• The booking agent or operator is responsible for incorrect quotes or charges issued to the guest.
• Provisional bookings are held for a maximum of 14 days unless a written extension is requested and approved.

Arrival and departure

The reserve gate closes at 18h00 in winter and 19h00 in summer. Guests must check in before the applicable gate-closing time.

• Check-out is by 10h30.
• If delayed, contact reception with the expected arrival time.
• Self-drive guests must provide a working contact number.
